FAQ

Short answers to the questions committees ask most.

Accounts and access

Can members log in? No. The public site needs no login and shows results, standings, fixtures and how to pay. Only committee admins sign in, and only to the admin portal.

How many admins can we have? As many as you like. Settings → Committee admins → Invite. Owners and admins have the same access today; the owner label is just so you know who set the society up.

I've lost my authenticator app. Ask another committee admin: Settings → Committee admins → Reset 2FA next to your name. Then sign in again and scan the new QR code with your authenticator app. Removing you as an admin and inviting you again does not clear it — your account keeps its authenticator. If you're the only admin, contact the person who runs the service.

I forgot my password. Use Forgot password? on the sign-in page. The email link opens on the same device it was requested from and lasts 24 hours.

Someone signed in and got "not an administrator of this society". They have an account for a different society. Each society's admin portal is on that society's own address; the message tells them where theirs is.

Setting up

Can we change the badge or colours later? Yes, at any time in Settings → Society. Uploading a new badge regenerates the icons; members who have the site on their home screen see the new icon after re-adding it.

Can we change the currency after entering money? You can, but existing amounts are not converted: 30 stays 30 and just shows with the new symbol. Choose the currency before you record anything.

We don't call it the wooden spoon. Settings → Currency and competition names. Your name is used on the standings tab, results, the results grid and the default prize list.

How do I start a new season? Settings → Create a season. It copies the rules from the season you pick; tick make it the current season when you want the public site to switch to it. Members keep their identity across seasons; add each one to the new season with their starting handicap for the year (their final handicap from last season is on their page).

Can we import last year's spreadsheet? Yes, as a one-off service: send the sheet and the totals are reconciled before it goes live. Ask the person who set your society up.

Members and handicaps

What is a guest? Someone who plays an outing without paying the membership fee. They appear in that event's result and pay the outing fee, but not in the championship.

Can I delete a member? Only one with no history at all (a typo or a duplicate) — the Remove member card on their page. Anyone who has played or paid is kept so past results and statements stay whole; switch Active member off to retire them.

A member's WHS index dropped. Can we match it? Yes — on their page, Handicap → Set manually, with the date it applies from and the reason. See How handicaps work.

We entered a score wrong last month. Open Results, pick that event, correct the score and Save. Everything after it is recalculated.

Why is a player missing from a result? Their score is blank. Blank means entered but didn't play. Type the score and save.

Events and tee times

How are tee times grouped? As few groups as possible, sizes as even as possible, never more than four, smaller groups first. 19 players become 3, 4, 4, 4, 4. Randomise reshuffles; you can regenerate after adding late entries (a redraw starts from scratch, so do it before any hand moves).

Someone needs an early (or late) tee time. On the event page's tee sheet, use Move… beside their name: pick the tee time they want, a new time on the end of the sheet, or a swap with a player in another group. Groups never go above four; a group left empty closes up and the later times move forward. A published sheet is locked because members may have seen it: Unpublish it, move the players, then publish again.

Can members see who else is playing? Yes — the public event page lists everyone entered for an upcoming outing, with a paid tick per player if you leave that on (Settings → Public site): paid, part paid, deposit paid or not paid yet. Amounts are never shown. The home page's next-outing card shows the count.

Members can't see the tee times. The sheet has to be published on the event page. Publishing also puts a link on the home page while that outing is next.

Weekend away with two rounds? Make the event a weekend and add the second round. Each round is ranked and handicapped separately; the championship points come from the combined total. The deposit and balance are tracked as two payments.

Can an event not count for the championship? Untick counts for the championship in the event's details. Results, handicaps and side competitions still apply.

Money

What's the winner's credit? A free next round for an outing winner. It counts as paid on the member's statement but not as cash, so the kitty is right.

Why don't the kitty and the money in minus money out match? The kitty counts cash only; the winner's credit is excluded. The balance sheet shows both.

Someone paid in euros while we're in sterling. Record it in your currency and choose the currency paid plus the amount in that currency; both are kept.

Where do the society's bank details show? Only on the Pay page, and only what you put in Settings → Payments. Leave a field blank to keep it off the site.

The service

What does it cost? Nothing while the service is being set up with its first societies. Any future charge would be agreed with you first, with the data always yours.

Can we have our own domain? Yes — ask. It needs a small amount of DNS work on your side.

Can we get our data out? Yes. Everything is in standard tables and can be exported for you on request.

Who can see our data? Your committee admins, and the person who runs the service for support. No other society can see it: each society's data is kept in its own separate schema.
